Position Overview:
The Facilities Manager is responsible for overseeing day-to-day facility operations and maintenance at all San Francisco AIDS Foundation locations. This position manages a staff of two facilities coordinators. They are responsible for all shared facility costs and related vendors and projects. Additionally, their team is responsible for all facility and office related support tickets.
Essential Duties:
- Supervise two facilities coordinators, managing the team's daily activities. Establish work schedules, assign tasks, and cross-train staff. Set and track staff and department deadlines.
- Coordinate facilities repairs and maintenance at all Foundation facilities by working with vendors, technicians and facilities team.
- Manage facilities vendor relationships and contracts.
- Provide excellent customer service to all business partners by responding to facilities requests in a timely and professional manner.
Other Responsibilities:
- Manage routine maintenance and repairs of HVAC, elevators, fire systems, security systems.
- Manage annual fire inspections and certifications across locations.
- Manage inventory of cleaning supplies and office equipment.
- Complete handy person tasks at Foundation sites as needed
- Provide support to staff on facilities related applications including but not limited to Fresh Service, Robin, Avigilon and Total Connect.
- Collaborate with Facilities Director on occupational health and safety training, procedures and compliance across all Foundation locations.
- Collaborate with Facilities Director on the budget for each site as it relates to facilities maintenance and repairs.
- Participate in employee on-boarding and develop additional employee training related to facilities.
Essential Qualifications:
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, etc.)
- Valid California Driver's License
- Be able to lift/carry up to 50 lbs. without assistance and up to 120 lbs. with a hand truck
- Be able to climb stairs
Supervision: This role oversees the Facilities Coordinator.
Physical Requirements and Work Environments:
Skill in operating equipment such as a personal computer, copy machine and telephone system. Ability to perform routine bending, stooping, twisting, and reaching. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Education and Experience:
- High School diploma or equivalent.
- Minimum of 3 years of work in facilities management or related field
- Experience with OSHA and Cal/OSHA highly regarded.
- Basic mechanical, electrical and plumbing knowledge.
This position will have access to protected health information (PHI) and may only access, use or disclose the minimum information necessary to perform their designated role on behalf of San Francisco AIDS Foundation, regardless of the extent of access provided.
Work Environment:
This position is primarily located
at 940 Howard Street, San Francisco, however it will frequently require traveling to other office locations or off-site meetings as required by the job. Role may include early morning, evening and weekend coverage.
