We are looking for a dynamic Operations Specialist to drive the success of our NY regional showroom operations for our US/Canada Operations Team. Based at our Main Showroom in New York and reporting to the Director, Events & Wholesale Operations, you will oversee showroom operations across multiple locations, ensuring the seamless execution of Brand & Commercial Strategies while enhancing the sales process. You will up-level our showroom experiences and empower sales teams to improve revenue and brand visibility.
We ask that you work 4-5 days a week from our New York, NY office, depending on on-site activities.
About The Job
Showroom and Events
- Support showroom operations across multiple US & Canada locations.
- Support showroom internal and external events, ensuring seamless execution and optimal experience.
- Support samples manager with sample staffing, processing, shipping, and organization.
- Assist local teams with deliveries, freight access, and on-site storage.
- Optimize showroom organization, ensuring ease of use and proper technology operation and setup (presentation screens, Teams Equipment, and IT infrastructure).
- Welcome and host guests at the NY Showroom, coordinating hospitality and logistics across events.
- Maintain showroom cleanliness and organization to ensure optimal guest and employee experience.
- Support the event team with tasks including registration, travel, rooming lists, catering, and project tracking as needed.
Real Estate & Facility Operations
- Support NY showroom event operations for internal and external teams, partnering with Office Manager/EU.
- Complete Showroom and Event work orders for installations, vendors, and contractors including managing Certificates of Insurance, booking freight and dock needs, being the on-site contact.
- Partner with real estate and other US/Canada regional showrooms for operations access, security, janitorial, renovations, and leases.
- Be the IT point of contact: showroom WIFI & AV, shipments, showroom equipment issues and installs.
Administrative Support
- Provide ad hoc administrative support to the team and their partners (as needed).
- Process monthly billing charges and order supplies for services including water, coffee, HVAC, janitorial, document shredding, network/wifi/domain, plant maintenance, and FedEx account management.
- Manage the NY showroom master shared calendar, ensuring dates, team walkthroughs, and deliverables are communicated.
- Assist teams with creating presentations and sell-in materials containing brand and product information.
- Gather and use employee and guest feedback to improve processes and the employee experience.
- Work with the Director to execute Sports Marketing ticket allocation and distribution.
- Support the team with vendor payments and track department budget using
- Concur expense reporting, Tradeshift, and Contract Life Cycle Management Programs.
About You
- 3+ years of experience in an administrative or operations role with a focus customer needs
- Able to travel to local & non-local events as needed (~4 weeks/year)
- Active learner, you seek to improve your understanding of operations: GTM content, calendar, brand information and tools etc
- Experience managing data, timelines, and operational activities
- Passion for improving showroom experiences and operational efficiency including a passion for cleanliness/tidiness.
- Familiarity with HVAC systems, alarm systems, security systems (Brivo, Eagle Eye cameras, NAVCO), and IT equipment (whiteboards, TV screens, jumbo screens) 123.
- Project Management: Ability to manage installs, updates, renovations, load-ins, and load-outs.
- Safety and Compliance: Knowledge of fire safety protocols and training.
- Liaised with building management, unions, real estate, regional spaces like showrooms, and multiple departments
- Manage supplies, monthly billing charges, and distribution lists, budget tracking, forecasting, and execution of payments.
The expected starting salary range for this role is $51,400-$80,000 per year. We may ultimately pay more or less than the posted range based on the location of the role. The amount a particular employee will earn within the salary range will be based on factors such as relevant education, qualifications, performance and business needs.
