What You Bring
- Minimum of an Associates degree
- Project Management Certification highly desired
- Minimum of three (3) years of admin/customer services experience; previous non-profit environment is strongly preferred
- Minimum one (1) year experience in Human Resources
- Valid driver's license and/or access to alternative means of transportation
About The Role
Under the supervision of the Human Resources Manager, the Human Resources Coordinator is responsible for performing administrative and project management duties to support the business operations in Human Resources and Admin. The Human Resources Coordinator will provide support in implementing and tracking HR-related tasks and projects progress through completion, leading the day-to-day front office operations, responding to employee inquiries and concerns, and/or leading them to the correct personnel for their needs.
Your Day-to-day Responsibilities
65% Human Resources Functions:
- Collaborate with Sr. HR Generalist and/or Human Resources Manager on developing and implementing recruitment campaigns, identifying and attending relevant career fairs and hiring events; identify niche job boards for specialized positions.
- Execute and monitor external job postings - monitoring expiration dates and refresh/repost as necessary; removing postings once positions are filled; tracking job posting costs on a monthly basis
- Schedule meetings, interviews, HR events and maintain agendas
- Coordinate training sessions and seminars
- Collaborate with Sr. HR Generalist and/or Human Resources Manager to drive the New Hire onboarding and orientation process.
- Partner with Facilities and IT teams to coordinate logistical needs for new hires (computer laptops, office seating, etc.) for new hires.
- Collaborate with Sr. HR Generalist and/or Human Resources Manager on Diversity, Equity and Inclusion initiatives.
- Collaborate with Pro Bono team to develop and manage Intern onboarding/off-boarding process
- Maintain personnel files and updating relevant employee information in HRIS system; ensuring files have up-to-date and accurate employee documents.
- Develop an Intern tracking database for former interns and manage relationships with former interns to build an emerging talent pipeline for the organization.
- Train Admin/HR Interns on duties, coordinate intern schedules and provide feedback on intern performance to Human Resources Manager.
- Branding HR documents and forms; ensuring all HR-related documents have the appropriate and updated logo and addresses; creating and maintaining all HR document templates
- Ensure the organizational All-Staff calendar is updated with company observed holidays, internal events, and HR/administrative deadlines.
- Employee Personnel Files: maintain accurate and up-to-date personnel files, records and documentation ensuring integrity and confidentiality, assisting with periodic audits as directed by HR Manager.
- Maintain SignNow platform to ensure all documents have been received, signed and filed; purging files as needed.
- Participate in the planning and execution of special events as benefits, enrollment, organization-wide meetings, employee recognition events, holiday parties and retirement celebrations.
35% Front Desk Operations
- Execute daily front desk duties including answering telephone calls, addressing inquiries, and providing information about AJSOCAL and other community resources.
- Place and track purchase orders on behalf of HR and Facilities team when needed.
- Assist the Facilities Team with the management of the Brivo system and security cards.
- Report safety and access issues throughout the facility to HR & Facilities teams
- Greeting and assisting visitors in signing in and accessing staff.
- Receive deliveries, sort and route items, packages and/or mail sent to the organization and staff.
- Collaborate with the OC office manager and provide admin support when necessary
- All other duties as assigned
